The leaves are turning, the clocks went back, and somewhere a store is already playing Christmas music (even though Mariah hasn't said it's ok yet 😒).

We spent the season heads down shipping, so grab a warm drink and cuddle up with a blanket, we give you permission. We've got a lot of updates to cover

## 📬 Write it once with Variables

Variables store a short piece of text once, like your product name, a support email, or a plan price, and let you drop it into as many articles and Clips as you like.

Change the Variable and every article using it updates. Readers see normal text, so nobody can tell it's a Variable.

### Why we built it

Rebrands, price changes, and new support numbers all end the same way: someone searching every article at 5pm on a Friday, and still missing one. (It's always the one a customer finds.)

We wanted that job to take one edit.

Variables also work inside Clips, and you can override a Variable's value for one article without touching the rest, which turns a single Clip into a reusable template.

Before you save a change, the **Used in** list shows every article and Clip it touches. And you can **Lock** a Variable, for when you trust your team, but not with the company name.

[Understanding VariablesStore reusable text once as a Variable and update it everywhere it's used. Create, insert, update, delete, lock, and override Variables inside Clips.![](https://storage.ghost.io/c/75/1b/751bf80c-380f-4ff2-9c2a-e7861122c025/content/images/icon/favicon-07642de2-3d2d-45cb-a5b1-7d1c8b55ac3e.png)supportRebecca Thompson![](https://storage.ghost.io/c/75/1b/751bf80c-380f-4ff2-9c2a-e7861122c025/content/images/thumbnail/screenshot-2026-10-31-at-16-21-12-b8fef40f-39ab-473e-ba7a-bbd60a256f60.png)](https://support.helpdocs.io/article/0ass9d069f-understanding-variables?ref=blog.helpdocs.io)

## 🧱 New blocks for the Block editor

![](https://storage.ghost.io/c/75/1b/751bf80c-380f-4ff2-9c2a-e7861122c025/content/images/2026/11/image.png)

The Block editor has a new set of blocks for the content that never fit into plain paragraphs:

- **Tabs** show different versions of the same instructions side by side, like Mac and Windows, or Admin and Member.
- **Steps** are numbered instructions, with each step's screenshot sitting beside it instead of piling up underneath.
- **Decision trees** walk readers through a few questions and send them to the right answer.
- **Mermaid diagrams** are flowcharts and diagrams you write as text, so updating one doesn't mean opening a design tool.

Tables also got header rows, their own menus, and column borders you can drag to resize. And you can align text left, center, or right almost anywhere.

### Why we built it

Help articles have a shape. "Click here, then here, then it depends" is the most common article in any knowledge base, and until now the only way to write it was a wall of bullet points and a prayer.

We wanted the structure readers need to be one / away, so writers spend their time on the words instead of fighting the formatting.

The full list is in Understanding Block Types ([https://support.helpdocs.io/article/kr7prvv938-understanding-block-types](https://support.helpdocs.io/article/kr7prvv938-understanding-block-types?ref=blog.helpdocs.io)), and switching editors is covered in Upgrading to the Block Editor ([https://support.helpdocs.io/article/5vru9sph6l-upgrading-to-the-block-editor](https://support.helpdocs.io/article/5vru9sph6l-upgrading-to-the-block-editor?ref=blog.helpdocs.io)).

## 📦 Bring your docs with you, from almost anywhere

You can now import from 16 sources. New this season:

- Freshdesk
- Document360
- GitBook
- GitHub
- Notion
- Google Drive
- Word and other documents
- PDFs
- A crawler that reads your existing help site when there's no export at all.

Plus Intercom now reads the API instead of your public pages, and Zendesk can use your own OAuth client, so drafts and sign-in-only articles come across too.

### Why we built it

Moving help centers is the scary part of switching. It's moving house, except the boxes are 400 articles and nobody labeled any of them.

So every import is staged: we show you what we found before anything is written, the default mode never touches your existing content, and there's an **Undo** button for an hour afterwards. We also copy your images across and set up redirects from your old URLs where the source tells us what they were.

[Migrate to HelpDocsBring your help center with you. Import from twelve platforms, PDFs, a website crawl, Word documents or a CSV, with your categories intact.![](https://storage.ghost.io/c/75/1b/751bf80c-380f-4ff2-9c2a-e7861122c025/content/images/icon/favicon-b974fe12-c079-4d43-aa51-e16279f020d0.png)HelpDocs![](https://storage.ghost.io/c/75/1b/751bf80c-380f-4ff2-9c2a-e7861122c025/content/images/thumbnail/OG-image-ac2743dd-da83-449a-8ac3-e32c47f93154.png)](https://www.helpdocs.io/migrate/?ref=blog.helpdocs.io)

## 🤖 AI Visibility, on every plan

![](https://storage.ghost.io/c/75/1b/751bf80c-380f-4ff2-9c2a-e7861122c025/content/images/2026/11/image-2.png)

Every HelpDocs plan now includes **AI Visibility**: an llms.txt file and a Markdown version of every article, so AI assistants can read your docs cleanly.

Stats now count when ChatGPT and Claude read your help center, checked against the IP ranges they publish, plus visits that AI assistants send your way.

### Why we built it

More of your customers ask an AI assistant before they ask you. If that assistant can't read your docs, it guesses, with total confidence, and the guess gets blamed on you. We'd rather it quoted you.

We think getting found by AI belongs on every plan, not only the expensive ones. Stats then show you whether it's working.

[Markdown Versions of Your ArticlesEvery article in your knowledge base can be served as clean Markdown, so AI assistants and coding agents read your docs without the page around them.![](https://storage.ghost.io/c/75/1b/751bf80c-380f-4ff2-9c2a-e7861122c025/content/images/icon/favicon-71e27154-2435-4655-9000-790b1dfb41c9.png)supportRebecca Thompson![](https://storage.ghost.io/c/75/1b/751bf80c-380f-4ff2-9c2a-e7861122c025/content/images/thumbnail/markdown-articles-switch-82efe175-3661-4ecd-a23f-c049157b732b.png)](https://support.helpdocs.io/article/5polbjhcsf-markdown-versions-of-your-articles?ref=blog.helpdocs.io)

## 🗄️ Archive articles instead of deleting them

Archiving takes an article off your help center *without* deleting it. It stays in its category with its revisions, tags, and permissions, and comes back as a draft whenever you unarchive it.

Archiving a live article lets you redirect its visitors in the same step, and you can archive in bulk from the Content view.

### Why we built it

Until now you had two options for an outdated article: leave it as a draft, add \[ARCHIVED\] in the title, and hope nobody resurrects it by accident, or delete it and hope you never need it again.

That's a lot of hoping. Archiving gives old content somewhere to retire, and we'll even suggest it when an article's title says it's out of date.

BUT NOT ONLY THAT. Nope, you see, we also let you write a reason. So instead of saying "Why tf did \[the accused\] archive that?", you'll know. No coffee break breakups.

[Archiving ArticlesArchiving takes an article off your knowledge base without deleting it. It stays in its category, keeps its revisions, and comes back as a draft whenever you unarchive it.![](https://storage.ghost.io/c/75/1b/751bf80c-380f-4ff2-9c2a-e7861122c025/content/images/icon/favicon-90b9d7c6-3b5c-4f1a-b025-b5a7b3965fe1.png)supportRebecca Thompson![](https://storage.ghost.io/c/75/1b/751bf80c-380f-4ff2-9c2a-e7861122c025/content/images/thumbnail/archive-icon-59f62dd0-97b0-406b-a0bd-f0a2ee0b5a42.png)](https://support.helpdocs.io/article/4z4d23esoj-archiving-articles?ref=blog.helpdocs.io)

## 🧭 A tidier admin app

![](https://storage.ghost.io/c/75/1b/751bf80c-380f-4ff2-9c2a-e7861122c025/content/images/2026/11/image-1.png)

The admin app has a new top bar with search, an account switcher, and a language switcher. Settings got a new layout with proper URLs you can bookmark and share, and one **Customize** editor with a live preview of your help center.

There's a new **Profile** page, a theme picker in the profile menu, and mobile views that work properly.

### Why we built it

Settings grew one tab at a time for years, until it was basically a junk drawer with a save button. Finding the right screen took more clicking than it should have. We reorganized it around what you're trying to do, and put search where you'd expect it.

## The smaller things

### Writing and editing

- Embeds are now picked inline instead of in a modal
- Translate an article side by side with its original, and see a category's original text beside each translated field
- Compare article versions side by side
- A jump-to-section rail in the editor, and Quick look to preview an article without opening it

### Search and Ask AI

- Search results open at the sentence that matched
- Ask AI shows inline citations, and tells readers what it's doing while it works

### Stats

- Saved views, so your favorite filters are one click away
- Bot traffic is left out of the regular Stats tabs by default (sorry, bots)

### Your help center

- Redirects can be 301 or 302, and you can reorder them in the dashboard
- Brand your additional domains
- Login page options now have their own place in Settings
- Regional language codes like pt-BR are supported

### Security and access

- Enterprise accounts can set an idle timeout and a maximum session length
- Editors and Writers no longer see categories they can't access
- Groups managed by your identity provider over SCIM are locked in the admin app
- SAML sign-in problems get a branded error page that says what went wrong
- The audit trail now logs SSO sign-ins and shows why an event failed

### Plans and billing

- The Billing tab shows how your usage fits your plan
- New trials get a Getting started checklist, with AI credits for finishing it
- AI features your plan doesn't include now show as locked instead of disappearing
